About Our Client:
Our client, a successful and award-winning Pre-Construction Real Estate Investment firm, is looking to hire a Real Estate Administrator for Resale and Pre-Construction. They are looking for passionate professionals with a proven track record of success to join their dynamic team and contribute to their mission of providing a seamless real estate experience for clients.
Responsibilities:
The Real Estate Administrator, Resale, and Pre-Construction will be responsible for performing a diverse range of functions including but not limited to:
- Transaction Processing: Manage over 200 pre-construction transactions, 100 resale transactions, and 100 leases per year, ensuring accurate and timely processing of all transactions.
- Operational Systems Optimization: Enhance and maintain administrative systems, manage action plans within the CRM, and continuously improve workflows and processes.
- Customer Service Excellence: Serve as the primary point of contact for all customer service needs post-transaction, ensuring client satisfaction and maintaining high service standards.
- Financial Management: Oversee invoicing, banking, and bookkeeping, ensuring financial transactions are completed accurately and on time.
- Database Integrity: Maintain and manage deal files across various platforms (FollowUp Boss, Google Drive, Spreadsheets, DealApp), ensuring all data is securely stored and accessible.
- Pre-Construction Support: Assist agents with pre-construction deals, ensuring all documentation is completed, legal reviews are conducted, and mortgage pre-approval letters are finalized within the 10-day cooling-off period.
- Resale Assistance: Provide administrative support to the resale team, ensuring smooth coordination across departments and maintaining superior customer service post-transaction.
- Compliance & Deadline Management: Ensure all timelines are met, including timely submission of deposit cheques and Mandatory Purchase Agreements (MPAs) for pre-construction transactions.
- Legal Coordination: Facilitate lawyer introductions, review legal communications, and manage interactions between lawyers, agents, and builders.
- Operational Efficiency: Oversee, manage, and train virtual assistants, and conduct weekly reviews of closed and paid deals to ensure all financial records are accounted for.
- Financial Oversight: Conduct weekly financial reviews with the Broker and Owner, and pull weekly reports to review transaction completions.
Qualifications
- 5+ years of experience in a real estate administrative role, with a strong background in both pre-construction and resale transactions.
- Experience and proficiency using Google Drive, Calendar, Spreadsheets, and Tasks.
- 2+ years of experience using FollowUp Boss CRM and Lonewolf platforms.
- Strong organizational skills with attention to detail and the ability to manage multiple tasks in a fast-paced environment.
- Excellent communication and interpersonal skills for efficient interaction with agents, clients, and legal teams.
- Accounting or bookkeeping experience, with a proven track record in creating and implementing successful administrative systems and processes.
- Demonstrated ability to support real estate sales teams and manage operational processes effectively and efficiently.
