We are seeking a Property Manager to join a dynamic team overseeing a portfolio of Class A commercial office buildings in Downtown Toronto totaling over 1 million square feet. This role focuses on delivering an exceptional tenant experience, managing operating and capital budgets, and ensuring best-in-class building operations and maintenance.
Key Responsibilities
Tenant & Stakeholder Relations
- Build and maintain strong relationships with tenants, vendors, and key stakeholders through regular engagement
- Enhance tenant satisfaction by leading innovative tenant engagement initiatives
- Promote sustainability programs and effectively communicate property policies, procedures, and events
- Provide leadership and guidance to the property management team to ensure high levels of service delivery
- Collaborate with leasing and construction teams to coordinate tenant improvements, capital projects, and move-ins/outs
- Maintain professional and responsive communication in all daily building operations
Financial & Budget Management
- Prepare and manage annual operating and capital budgets, including variance analysis and reporting
- Produce monthly and quarterly reports for ownership, including forecasts, variance reports, executive summaries, and receivables tracking
- Work closely with property administration and accounting to ensure accurate lease administration (Yardi experience preferred)
- Oversee accounts receivable and collections to ensure timely processing
- Support year-end reconciliations and tenant billings
- Issue work orders and purchase orders in line with approved budgets
Operations Management
- Lead, mentor, and motivate staff and service providers through regular feedback and performance management
- Ensure compliance with all applicable regulations and standards
- Implement and oversee preventative maintenance programs and operational best practices
- Identify and implement cost-saving and efficiency-driven initiatives
- Coordinate service contracts, including tendering and vendor management
- Conduct routine property inspections
- Support preparation and review of rental notices and tenant communications
- Maintain up-to-date tenant manuals, property rules, and contractor guidelines
- Lead submissions for industry awards and recognition programs
Qualifications
- 3–5 years of progressive experience in commercial property management, preferably within an office portfolio
- Experience working with third-party management and client-facing environments is an asset
- Bachelor’s degree preferred
- Strong financial and business acumen
- Proven leadership and relationship management skills
- Self-motivated with a proactive, solutions-oriented mindset
- Strong attention to detail, organizational skills, and ability to meet deadlines
- Customer service–focused with a collaborative team approach
- Proficiency in Microsoft Office (Word, Excel, PowerPoint); experience with Yardi is an asset
- Demonstrated ability to implement innovative operational and technological improvements
