POSITION SUMMARY:

One of our top clients in core downtown Toronto within a small investment management company is looking for their first Manager, Operations to join their growing team in a hybrid working environment! Ideally this individual would have built an HR/Operations department from the ground up within a previous role. Must have: 3-5 years HR Business Administration experience ideally within the financial services/start-up sector.

This is an exciting opportunity for this individual to put their DNA on this Operations role! Competitive overall compensation package based on years of experience with 4 weeks vacation and bonus. The Operations Manager will oversee the daily activities of the firm, focusing on Firm Administration, Human Resources, and Compliance. This role is essential for ensuring that all operational processes adhere to regulations and align with the company's strategic objectives. The ideal candidate will possess strong leadership abilities, meticulous attention to detail, and a solid grasp of administrative and HR functions, with a willingness to develop expertise in Compliance.

KEY RESPONSIBILITIES:

Firm Administration – 35%

  • Oversee office operations and procedures to ensure smooth and efficient functionality.
  • Organize and manage firm social and client development events.
  • Handle requests for hardware and software related to technology.
  • High Potential to have a direct report in the administration department in future.

Human Resources – 45%

  • Support various HR functions, including recruitment, performance management, compensation, and employee relations, while driving new HR initiatives.
  • Maintain HR records, manage employee benefits, and ensure adherence to employment laws and regulations.
  • Facilitate onboarding for new hires and offboarding for departing employees.
  • Promote a positive, inclusive work environment and manage employee engagement programs, including service recognition, wellness initiatives, and professional development.

Compliance – 20%

  • Oversee the Compliance administrative function with support from external legal counsel.
  • Cultivate a culture of compliance within the firm.
  • Prepare the Quarterly Reporting Package and present findings to the Chief Compliance Officer.
  • Manage employee registrations and review trading statements.
  • Meet quarterly with outsourced compliance support and communicate any regulatory updates.

Additional Responsibilities:

  • Handle IT hardware and software requests, including setting up laptops for new employees.
  • Assist with ad-hoc projects and provide support as needed within the Operations team.

QUALIFICATIONS:

  • Bachelor’s degree in Business Administration or related field.
  • 3-5 years of experience as an Operations Manager or similar role, with a strong background in HR Business Administration is a must.
  • Excellent interpersonal skills with a track record of improving processes within an organization.
  • Strong written and verbal communication abilities.
  • Exceptional organizational skills and the ability to work independently.
  • Proactive and self-motivated, with a capacity to integrate quickly and contribute effectively.
  • Ability to work collaboratively as part of a team.
  • Eagerness to learn new skills and pursue a long-term career with the firm
