Job Description

Our reputable client in the insurance sector is seeking a dedicated and detail-oriented Executive Assistant (EA) with a background in life insurance to join our passionate and professional team. As an Executive Assistant, you’ll play a vital role in the day-to-day operations of our boutique insurance and estate planning practice. You’ll be the right hand to our senior advisors, ensuring the seamless execution of administrative, sales, underwriting, and client service processes.

This is a hands-on, multi-faceted position ideal for someone who thrives in a fast-paced environment, enjoys working with people, and is eager to deepen their expertise in life insurance and financial services.

This is a fully onsite role based out of downtown Toronto.

Key Responsibilities:

Administrative & Office Support

  • Answer incoming calls and manage day-to-day office communication.

  • General clerical duties including filing, document management, and supply ordering.

  • Maintain and update internal systems including our "Dead File" system and digital records to support a paper-free environment.

  • Prepare client correspondence, letters, and presentations using Microsoft Word and Excel.

Insurance & Client Support

  • Utilize Canada Life Workspace and other carrier platforms to:

    • Order insurance illustrations and sales proposals

    • Access new business and in-force policy summaries

  • Assist with preparation of presentations, quotes, and policy summaries.

  • Provide high-touch client service, including addressing policy-related inquiries (beneficiary changes, premium renewals, assignments, tax implications, etc.).

  • Support senior management’s book of business across life, disability, segregated funds, and annuities.

Underwriting & Compliance

  • Manage the full underwriting process:

    • Order APS reports, medicals, and coordinate nurse visits

    • Liaise with underwriters to ensure timely and fair decisions

  • Track and follow up on pending applications through to policy delivery

  • Maintain compliance records including licensing, E&O, CE credits, and carrier appointments

Back Office Management

  • Reconcile new business commissions (first-year, renewal, bonuses)

  • Provide intermediary support between advisors and carrier reps (underwriting, actuarial, client service)

  • Work closely with management to streamline processes and enhance operational efficiency

Ideal Candidate:

  • 3+ years of experience in an Executive Assistant, Insurance Administrator, or similar role within the life insurance industry

  • Proficient in using insurance carrier portals (Canada Life, Manulife, Sun Life, etc.)

  • Strong understanding of life insurance products, underwriting, and policy servicing

  • Excellent written and verbal communication skills

  • High attention to detail and organization

  • Self-starter with the ability to manage competing priorities

  • Comfortable with Microsoft Office Suite (Word, Excel, Outlook)

  • LLQP License is an asset (or willingness to obtain)
