Job Description

Our client, a top employment law firm in downtown Toronto, is adding a Legal Executive Assistant to their team!

This is a permanent, full-time opportunity, that offers a hybrid work model.

Responsibilities:

  • Organize and maintain files, records, and documents
  • Provide administrative support to executives, including scheduling meetings, managing calendars, and arranging travel
  • Draft memos, emails, and other correspondence as required
  • Perform data entry tasks to keep databases current
  • Use tools such as Lexis-Nexis and iManage to retrieve and manage information
  • Proofread and edit documents to ensure accuracy and clarity
  • Conduct interviews with prospective candidates to evaluate qualifications and fit for the team
  • Triage phone calls and direct inquiries to the appropriate parties

Skills:

  • Strong organizational abilities with effective task prioritization
  • Competent in clerical tasks such as filing, data entry, and document management
  • Familiarity with software like PC Law and Calendly
  • Knowledge of uploading online case files to the court system via case lines
  • Excellent administrative capabilities, including scheduling, calendar management, court date arrangements, and travel coordination
  • Attention to detail with strong proofreading skills and follow-up abilities
  • Strong written communication skills for drafting memos, emails, and other correspondence
  • Professional phone etiquette for managing incoming calls

Requirements:

  • 5+ years of experience as a legal assistant or executive assistant in a Legal Setting
  • Must have experience in Litigation
  • Proficient in computer applications ex. Microsoft Outlook, Word, Excel, and PowerPoint
  • Strong communication skills, written and oral - a written assessment will be conducted
  • A keen eye for detail
  • Preference for licensed paralegals
