About the Firm:

A firm in the supply and service arena for construction base projects and high-rise needs around our country.

Essential Tasks:

Main Responsibilities:

  • Calendar Management;

Proactively manage the executive's calendar, scheduling meetings, appointments, and conference calls, including coordinating with internal and external stakeholders.

  • Travel Arrangements:

Arrange complex domestic and international travel, including booking flights, accommodations, ground transportation, and managing itineraries.

  • Communication Management:

Screen incoming calls, emails, and correspondence, prioritizing and directing communications to the appropriate parties.

  • Document Preparation:

Prepare presentations, reports, memos, and other documents, ensuring accuracy and professional formatting.

  • Meeting Coordination:

Organize and facilitate meetings, including preparing agendas, distributing materials, taking minutes, and following up on action items.

  • Expense Reporting:

Process expense reports and maintain accurate financial records.

  • Project Management:

Assist with special projects as assigned, including research, data compilation, and follow-up.

  • Office Management:

Manage office supplies, maintain filing systems, and coordinate office services as needed.

Required Skills and Qualifications:

Exceptional Communication Skills:

Excellent verbal and written communication skills to effectively interact with diverse stakeholders.

Strong Organizational Skills:

Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines with meticulous attention to detail.

Proficiency in Technology:

Expertise in Microsoft Office Suite, calendar applications, and other relevant software.

Discretion and Confidentiality:

Ability to handle sensitive information with the utmost confidentiality.

Anticipatory Thinking:

Proactive approach to anticipating needs and identifying potential issues before they arise.

Adaptability and Flexibility:

Ability to adjust to changing priorities and work effectively in a fast-paced environment.

Experience:

  • Proven experience as an Executive Assistant supporting senior executives in a complex business environment.
  • Experience with managing calendars, travel arrangements, and administrative tasks.

Familiarity with industry-specific terminology and procedures is a plus.
