Job Description

Our client in the Manufacturing sector is looking for a Fully Onsite (5 days a week from 830am-5pm) Executive Assistant to join their team for an 18-month Contract position in Scarborough, North of Finch Avenue East. The Executive Assistant will play a vital role in ensuring the CEO's and extended teams' efficiency by managing schedules, tasks, and communications effectively. This will be a direct report to the CEO and an indirect report to HR for additional initiatives for the company. Key Responsibilities:

  • Heavy calendar management of the CEO’s and coordination with additional team members.
  • Take and edit meeting minutes to align with established formats.
  • Act as the primary liaison for internal and external communications.
  • Collaborate closely with the CEO to ensure they are informed of upcoming commitments and responsibilities.
  • Manage sensitive and confidential information discreetly related to the Office of the CEO.
  • Provide administrative support with a focus on professionalism, respect, and friendliness.
  • Assist with additional tasks, including personal support and ad hoc requests as directed by the CEO.
  • Coordinate complex travel international arrangements and schedules for the CEO and extended team an estimated 20 individuals for tradeshows and additional events (this includes hotel, meetings, and flights).
  • Support and assist with all HR-related events including employee appreciation events, summer events, holiday parties, etc.

Required Skills and Experience:

  • At least 2-5 years of experience in a similar role, demonstrating sound judgment and discretion.
  • Exceptional organizational skills and keen attention to detail.
  • Resourceful team player with a positive attitude in a fast-paced setting.
  • Strong interpersonal abilities.
  • Proficient in Microsoft Excel, Word, PowerPoint, Outlook, and video conferencing tools.
  • Outstanding customer service skills.
  • Excellent verbal and written communication skills.
