Job Description

Our Client is a boutique firm in the Finance Industry. Their Managing Director is searching for a Personal Assistant/Executive Assistant to join their successful team.

Reporting directly to the Executive, you will be responsible for overseeing the management of personal matters, properties, vehicles, and other ad hoc tasks requested by the Executive.



Responsibilities:
  • Executive support such as calendar management, travel coordination, event planning, meeting coordination, and office services
  • Work collaboratively with internal stakeholders within the Executives' multiple businesses to ensure smooth & efficient daily operations
  • Preparation of documents and presentation materials for internal and/or client meetings
  • Management of all private properties inclusive of stocking supplies, scheduling cleaning, and general maintenance requirements
  • Managing all matters related to the Executives' personal errands, vehicle maintenance, insurance claims, personal travel, family events, shopping, groceries, etc.
  • Liaising with family members as well as other Senior Leaders, banking staff, accountants, and all other staff in a professional manner
  • Ensuring the executive's time is managed correctly by researching, proofreading, and analyzing all information correctly
  • Gatekeeper for incoming calls and email correspondence on behalf of the Executive, inclusive of client relationship management

Qualifications:
  • A minimum of 5 years of Personal Assistant and Executive Assistant Experience
  • Ability to treat confidentiality as the utmost priority in all circumstances
  • Demonstrates a professional demeanor and is proactive in managing all business matters
  • Proficiency in Microsoft Office (Excel, Word & PowerPoint)
  • Excellent communication skills, both written and verbal
  • Outstanding interpersonal skills which are essential in dealing with staff, family members, and both internal & external stakeholders
  • Preferably have a valid G license and a reliable car
