About Our Client
Our Toronto based client is looking for a dynamic Event Coordinator to assist their team for a 3–6-month contract engagement. For the right fit, this could eventually turn into a full-time permanent opportunity. You must be comfortable with working four days per week onsite, downtown Toronto. You must be available to start immediately.
Responsibilities
As the Event Coordinator you will focus on supporting the events team with delivering exceptional experiences through events and programs. With a high-volume
planning cycle, this position will keep the team organized and on track across multiple events/projects.
Key Tasks:
• Updating and maintaining event trackers and timelines
• Coordinating logistics with venues and vendors
• Assisting with speaker and staff travel/accommodation details
• Preparing event/meetings materials (agendas, notes, logistics)
• Supporting registration tracking and responding to attendee questions
• Organizing volunteer schedules and communications
• Scheduling meetings and preparing planning documents
• Organizing contracts and event documentation
• Compiling analytics and post-event survey results
• Assisting with post-event data entry and reporting
• Providing onsite administrative support if needed
Qualifications
This role is a key position with strategy development and creative problem-solving abilities being required.
• Strong knowledge of and experience in event coordination
• Knowledge and experience in project coordination
• Intermediate knowledge of MS Office: (Excel, Word, PowerPoint, Outlook, CRM
systems) social media, and online platforms
• Experience executing hybrid and /or livestreamed events
