About the Firm:

A firm in the environmental space doing tasks that keep our communities in Cnd. save and alert to issues when organizations are looking to build.

Essential Tasks:
  • Work closely with the Director prioritizing and managing his calendar and emails
  • Coordinate and organize meetings for the Director including organization of meeting materials ie) reports and proposal bids
  • Organize events including itinerary for monthly staff meetings
  • Prepare documents such as correspondence, reports, presentations, agendas, etc.
  • Coordinate business travel reservations for the Director
  • Maintain all professional membership accounts
  • Support the integrity of the hard and digital filing systems of the company
  • Assist with the coordination of administrative projects such as project-specific filing demands
  • General administrative tasks as requested if requested by the office manager in time of need. (telephone, scan, email, fax, research, etc.)

Qualifications:

  • 3- 4 years experience in office management performing Executive Assistant duties with a post-secondary education in environmental sciences
  • Experience overseeing general office operations and file management
  • Superior oral and written communication and proofreading skills
  • Developed critical thinking and problem-solving skills with a proactive nature
  • Demonstrated ability to work independently with little supervision with ability to be a team player
  • Well organized, quick learner, and proactive professional with a positive attitude and ability to prioritize tasks, workload, and time
  • Advanced keyboarding skills and exceptional knowledge of Microsoft Office (Word, Excel, PowerPoint)
  • Ability to exercise discretion and handle sensitive information in a discreet and professional manner
