Position Title: Director of Administration

Contract: 18 Month (Mat Leave Coverage)

Location: Ottawa, ON

Work Model: Hybrid or Remote options - must be available to come onsite one day per month

Our client represents and advocates for a distinct Indigenous people with a rich cultural heritage and a unique history. They are currently seeking a Director of Administration to cover a maternity leave for 18 months.

As a senior leader, the Director of Administration provides critical leadership and operational oversight to ensure seamless administrative support for the organization. This role is central to fostering efficiency, maintaining high performance, and supporting the organization’s strategic objectives.



The Director of Administration oversees organizational processes, recommends improvements, and builds relationships internally and externally to promote organizational success. This position ensures collaboration across teams, robust policy implementation, and effective administration. The portfolio will include office management, event planning, board relations and human resources, as well as leading those teams.

Key Responsibilities:

Team Leadership

  • Lead, mentor, and support a multidisciplinary team to encourage accountability, professional growth, and high performance.
  • Facilitate collaboration and communication between the administration team and senior leadership.
  • Monitor workloads and staffing levels to optimize departmental functionality.
  • Establish, guide, and oversee organizational policies, procedures, and processes.
  • Act as a key support for senior leadership and maintain strong interpersonal relationships.

Office Management and Administration

  • Ensure smooth office operations by supporting administrative functions such as supply orders, security, and logistics.
  • Develop and maintain effective office policies and systems for respectful and efficient space use.

Event Management

  • Oversee event planning policies and processes.
  • Provide direction and support to the events team for seamless event execution.
  • Approve event strategies to align with organizational priorities and assess post-event reviews for process improvement.

Board of Governors Support

  • Collaborate with the President and Board of Governors to prepare materials and execute meeting agendas.
  • Provide regular updates on deliverables and maintain strong working relationships with stakeholders.
  • Participate in committees to advance the organization’s goals.

Human Resources

  • Promote a positive organizational culture through robust hiring practices, competitive compensation, and effective performance management.
  • Oversee staffing plans, employee development, and compliance with employment standards.
  • Manage the Employee Handbook and related policies.
