Job Description

Position Overview:

Our Client is a leading organization located in Vaughan and is seeking an experienced Client Services Representative who will be responsible for managing our client's email inbox for new portal access requests.
This individual will play a critical role in vetting emails, confirming client identities, understanding their access needs, and ensuring compliance with data access permissions. The successful candidate will work closely with their education and outreach team to verify access requests before liaising with their IT department to issue login credentials.

Key Responsibilities:

  • Manage Client Email Inbox: Handle incoming requests for new portal access via email, ensuring a prompt and professional response.
  • Vet and Confirm Client Identities: Verify the identities of clients making access requests and confirm the nature of their inquiry.
  • Assess Data Access Permissions: Determine if clients are authorized to access specific data or resources based on established permissions.
  • Collaborate with the Education and Outreach Team: Work closely with the education and outreach department to verify and validate access requests before escalating to the IT department.
  • Serve as Primary Client Contact: Address client inquiries via phone, email, or in-person visits, providing outstanding service and support.
  • Maintain Accurate Records: Document and maintain precise records of client interactions and access requests.
  • Identify Process Improvements: Continuously seek opportunities to enhance the efficiency of the access request process, contributing to overall customer satisfaction.

Qualifications:

  • Proven experience in a customer service or client-facing role, preferably in a similar capacity.
  • Strong organizational skills, ability to multitask, and meticulous attention to detail.
  • Intermediate Excel knowledge for data entry and analysis.
  • Proficiency in data entry while ensuring accuracy and precision.
  • Excellent communication skills, both verbal and written.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Previous experience in managing client access requests or familiarity with data access permissions.
