Job Description

Our reputable client is seeking a highly strategic and execution-focused Operations Manager & Chief of Staff to partner directly with the President and Co-Founder of a fast-growing commercial real estate organization. This is a high-impact leadership role designed for a business-minded operator who thrives in fast-paced environments and plays a central role in driving organizational performance.

Acting as an extension of the President, you will lead cross-functional coordination, oversee key business initiatives, and ensure seamless execution across the organization. This role blends strategic planning with hands-on operational leadership, requiring someone who can move fluidly between high-level decision support and day-to-day business execution.

This is a full-time, on-site position based in Toronto, Ontario.

Key Responsibilities

  • Serve as a strategic partner to the President, translating vision and priorities into actionable plans and measurable outcomes
  • Lead cross-functional coordination across construction, leasing, operations, and property management to ensure alignment and execution
  • Drive accountability across teams by tracking key initiatives, deliverables, and performance against deadlines and business goals
  • Oversee and monitor core business operations, including construction progress, leasing pipelines, and property performance
  • Prepare executive-level briefings, dashboards, and reports to support data-driven decision-making
  • Identify operational inefficiencies and implement scalable processes, systems, and workflows to improve organizational effectiveness
  • Support strategic planning, budgeting, and financial tracking across projects and business units
  • Act as a central communication hub between executive leadership and internal teams, ensuring clarity and alignment
  • Lead and support special projects and business initiatives from conception through execution
  • Maintain visibility across all active projects and proactively resolve bottlenecks or risks
  • Represent the President in meetings, ensuring priorities are advanced and outcomes are achieved
  • Conduct site visits to ensure alignment between corporate strategy and on-the-ground execution
  • Oversee executive operations including calendar prioritization, communications, and travel logistics as needed
  • Handle sensitive information with a high degree of professionalism, discretion, and sound judgment

Qualifications & Experience

  • 5+ years of experience in a Chief of Staff, Operations Manager, Business Manager, or senior executive support role
  • Strong business acumen, ideally within commercial real estate, construction, or a related industry
  • Proven ability to manage complex projects, budgets, and cross-functional initiatives
  • Advanced proficiency in Microsoft Office (particularly Excel), with strong analytical and reporting capabilities
  • Demonstrated experience building processes, improving workflows, and driving operational efficiency
  • Exceptional organizational, project management, and prioritization skills
  • Strong communication and stakeholder management skills, with the ability to influence across all levels
  • Highly proactive with the ability to anticipate needs, think strategically, and execute independently
  • Experience with project management and reporting tools is an asset
  • Bachelor’s degree in Business Administration or a related field preferred
  • High level of professionalism, discretion, and sound judgment
  • Access to a vehicle and willingness to travel between sites as required
