Hourly wage $23
Responsibilities:
- Coordinate the scheduling of conference rooms, meeting rooms, and visitor offices, working closely with the hospitality, facilities, and technical teams as needed.
- Prepare and set up catering items and furnishings in boardrooms for both internal and external meetings, as well as special events.
- Ensure all boardrooms, coffee stations, lounges, and communal spaces are maintained to a high standard of cleanliness and safety. This includes regular cleaning of appliances like refrigerators and microwaves.
- Adhere to proper food handling and sanitation practices at all times.
- Assist with food and beverage ordering for internal and external meetings, supporting clients with food selection and collaborating with caterers to meet requirements while staying within budget.
- Manage inventory in conference areas, lounges, satellite kitchens, and collaborative spaces, ensuring the appropriate stock of food items and non-consumables. Procure new supplies as necessary with proper approval.
- Ensure the catering station is cleaned and all food is stored away, with dishes cleaned, before the end of the day.
- Process invoices and allocate them to the appropriate client and matter categories.
- Perform various administrative tasks for the OS&F team, such as preparing invoices for approval, running reports on meeting room utilization, and entering metrics for reporting.
Qualifications:
- Education: High school diploma or equivalent; a college degree in Hospitality, Business Administration, or a related field is a plus.
- Experience:
- Proven experience in office management, event coordination, or facilities support.
- Experience in food handling, catering coordination, or hospitality is highly desirable.
- Skills:
- Strong organizational and time-management skills, with the ability to handle multiple tasks and prioritize effectively.
- Attention to detail to ensure cleanliness, food handling, and setup meet high standards.
- Excellent communication skills, both verbal and written, to liaise with clients, team members, and vendors.
- Ability to work independently and collaboratively in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and experience with scheduling software is an advantage.
- Knowledge of basic food safety and sanitation standards.
- Ability to manage inventory and process invoices accurately.
