Our client, a well-established company providing law services to preeminent corporations and financial institutions, is looking for an experienced CATERING ASSISTANT to join their team on a temporary basis in the Vancouver office. Hourly wage $23 

Responsibilities:

  • Coordinate the scheduling of conference rooms, meeting rooms, and visitor offices, working closely with the hospitality, facilities, and technical teams as needed.
  • Prepare and set up catering items and furnishings in boardrooms for both internal and external meetings, as well as special events.
  • Ensure all boardrooms, coffee stations, lounges, and communal spaces are maintained to a high standard of cleanliness and safety. This includes regular cleaning of appliances like refrigerators and microwaves.
  • Adhere to proper food handling and sanitation practices at all times.
  • Assist with food and beverage ordering for internal and external meetings, supporting clients with food selection and collaborating with caterers to meet requirements while staying within budget.
  • Manage inventory in conference areas, lounges, satellite kitchens, and collaborative spaces, ensuring the appropriate stock of food items and non-consumables. Procure new supplies as necessary with proper approval.
  • Ensure the catering station is cleaned and all food is stored away, with dishes cleaned, before the end of the day.
  • Process invoices and allocate them to the appropriate client and matter categories.
  • Perform various administrative tasks for the OS&F team, such as preparing invoices for approval, running reports on meeting room utilization, and entering metrics for reporting.

Qualifications:

  • Education: High school diploma or equivalent; a college degree in Hospitality, Business Administration, or a related field is a plus.
  • Experience:
    • Proven experience in office management, event coordination, or facilities support.
    • Experience in food handling, catering coordination, or hospitality is highly desirable.
  • Skills:
    • Strong organizational and time-management skills, with the ability to handle multiple tasks and prioritize effectively.
    • Attention to detail to ensure cleanliness, food handling, and setup meet high standards.
    • Excellent communication skills, both verbal and written, to liaise with clients, team members, and vendors.
    • Ability to work independently and collaboratively in a fast-paced environment.
    • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and experience with scheduling software is an advantage.
    • Knowledge of basic food safety and sanitation standards.
    • Ability to manage inventory and process invoices accurately.
