Job Title: Business Analyst (BA)
Location: Vaughan (2 days onsite per week, remote work for the remaining days)
Job Type: Permanent or Contract (open to both options)

Overview:
We are looking for a skilled Business Analyst to facilitate the migration from Microsoft 365 to Google Workspace within the manufacturing sector. The ideal candidate will play a key role in understanding the current state of the Microsoft 365 environment, defining the desired future state with Google Workspace, and ensuring a smooth transition with minimal disruption to business operations.

Key Responsibilities:

  1. Requirements Gathering and Analysis:

    • Conduct interviews and workshops with stakeholders to understand their needs, workflows, and challenges in the current Microsoft 365 setup.

    • Document detailed functional and non-functional requirements for the Google Workspace environment, covering areas like:

      • Email migration and configuration

      • File storage and sharing (Drive, Shared drives)

      • Collaboration tools (Docs, Sheets, Slides, Meet)

      • Calendar and scheduling

      • Security and compliance requirements

      • Integration with other business applications

    • Analyze current data and usage patterns to identify optimization opportunities.

    • Document the current Microsoft 365 environment, including SharePoint structures, shared mailboxes, and user permissions.

  2. Process Mapping and Redesign:

    • Map existing business processes that rely on Microsoft 365 and identify necessary changes for Google Workspace.

    • Redesign processes to leverage Google Workspace tools and improve efficiency.

    • Identify and document process gaps or inconsistencies.

  3. Data Migration Planning:

    • Collaborate with the technical team to develop a data migration plan, covering:

      • Data inventory and assessment

      • Data cleansing and transformation rules

      • Migration timeline and schedule

      • Data validation and verification procedures

    • Ensure data integrity and minimize data loss during migration.

    • Document and implement data retention policies within Google Workspace.

  4. Testing and Validation:

    • Develop test plans and test cases to ensure the Google Workspace environment meets requirements.

    • Conduct user acceptance testing (UAT) and gather feedback.

    • Track defects and work with the technical team to resolve issues.

    • Ensure all security and compliance requirements are met.

  5. Project Management Support:

    • Assist the project manager with developing project plans, timelines, and budgets.

    • Monitor project progress, identify risks, and resolve issues.

    • Facilitate stakeholder meetings and workshops.

    • Document meeting minutes and action items.

  6. Stakeholder Management:

    • Act as a liaison between the technical team and business stakeholders.

    • Manage stakeholder expectations and address concerns.

    • Build and maintain strong relationships with stakeholders at all levels.

    • Keep stakeholders informed on migration progress.

  7. Post-Migration Support:

    • Provide post-migration support, ensuring the environment meets the defined requirements.

    • Document new scope requirements and help with future updates.

Required Experience & Skills:

  • Proven 5+ years experience as a Business Analyst, ideally in cloud migration projects.

  • Familiarity with Lucid for process mapping.

  • Knowledge of Smartsheet for project tracking.

  • Experience with Asana or similar tools.

  • Strong analytical and problem-solving skills.

  • Excellent communication and interpersonal abilities.

  • Ability to work independently and collaboratively in a team.
