Job Description

Our client, a prominent player in the Toronto real estate industry, is seeking a Bilingual Lease Administrator to join their team. This role is pivotal in ensuring the efficient management of lease agreements, renewals, and terminations, with a particular focus on accurate data entry and lease compliance. If you're highly organized, detail-oriented, and fluent in both French and English, this could be the opportunity for you!

Core Responsibilities

  • Review lease agreements and accurately enter charges, clauses, and options into the system.
  • Prepare and secure approvals for the monthly rent roll.
  • Oversee monthly rent billing and retroactive adjustments for lease renewals.
  • Manage billing processes, including security deposits and prepaid rents.
  • Track and communicate letter of credit requirements to the Accounts Receivable (AR) team.
  • Administer tenants on preauthorized payment plans and validate monthly transactions.
  • Monitor tenant occupancy and evaluate size requests as needed.
  • Input rates for new vacancies and adjust rates quarterly based on leasing information.
  • Perform monthly vacancy journal entries and index gross rent agreements.
  • Analyze discrepancies, prepare Rental Advice Notices, and verify lease expirations.
  • Follow up on pending renewals and holdover leases in coordination with the leasing team.
  • Send weekly workflow reports to approvers and rigorously follow up on internal communications.
  • Provide support to the leasing and asset management teams on lease-related tasks, special projects, and reporting needs.

Required Skills and Experience

  • Fluency in French and English, both written and spoken.
  • Strong background in accounting, with a solid understanding of lease agreements, terms, and clauses.
  • Excellent organizational skills to manage deliverables within pre-established deadlines.
  • High level of accuracy and attention to detail in data entry and lease modifications.
  • Understanding of the financial impact of lease adjustments and renewals.
  • Proficiency in Excel and Outlook.
  • Strong communication skills, with the ability to effectively collaborate across teams.
