Job Description

We are seeking a motivated and detail-oriented Assistant Property Manager to support the day-to-day operations of a commercial real estate portfolio. This role offers an excellent opportunity for a property management professional to work alongside an experienced team while gaining valuable exposure to budgeting, financial reporting, tenant relations, capital projects, and building operations.

The successful candidate will possess strong organizational skills, a customer-focused approach, and the ability to effectively manage multiple priorities in a fast-paced environment.

Key Responsibilities

  • Assist in the preparation and coordination of annual operating and capital budgets.
  • Prepare and support monthly and quarterly property management reports, including financial summaries, variance analyses, accounts receivable reporting, and operational updates.
  • Provide guidance and oversight to Property Administrators and assist with workflow coordination.
  • Ensure lease information is accurately entered and maintained within the property management and accounting systems.
  • Monitor accounts receivable, follow up on outstanding tenant balances, and support timely rent collection.
  • Review and verify coding of vendor invoices for accuracy before processing.
  • Serve as a primary contact for tenants regarding account inquiries, billing, lease interpretation, and day-to-day property matters.
  • Assist with the administration and renewal of service agreements and vendor contracts.
  • Support the preparation of tender documents and contract administration.
  • Participate in regular property inspections and help identify maintenance and operational needs.
  • Coordinate tenant improvements, capital projects, move-ins, and move-outs in collaboration with internal teams and contractors.
  • Prepare and review rental notices and ensure compliance with lease agreements.
  • Assist with annual operating cost reconciliations, tenant recoveries, and related invoicing.
  • Generate and manage work orders within approved operating budgets.
  • Maintain and update tenant communications, property manuals, building rules, and operational notices.
  • Coordinate tenant engagement initiatives, wellness programs, sustainability activities, emergency preparedness, and appreciation events.
  • Provide backup support for Property Administrators during absences or peak periods.
  • Participate in an on-call rotation to respond to property-related emergencies.
  • Travel occasionally to support operations at other properties as required.
  • Perform additional duties as assigned.

Qualifications

  • Minimum of three years of progressive experience in commercial property management.
  • Experience managing commercial office, retail, or mixed-use properties is preferred.
  • Bachelor's degree in Business, Real Estate, Property Management, or a related field is considered an asset.
  • Valid Property Management licence (RECA) is required.
  • Strong customer service and relationship management skills.
  • Excellent organizational, analytical, and time management abilities with the capacity to meet deadlines.
  • Knowledge of accounting principles and financial reporting is an asset.
  • Advanced proficiency with Microsoft Excel and property management/accounting software; experience with Yardi is considered an asset.
  • Strong verbal and written communication skills.
  • Ability to work independently while collaborating effectively with internal teams.
  • Demonstrated initiative, attention to detail, and commitment to continuous learning.
