About Our Client:
Our client, located in Toronto, is seeking a Property Administrator for a permanent opportunity to support daily operations and tenant services.

Responsibilities:

  • Serve as the first point of contact: reception, answering calls, and responding to emails from tenants, contractors, and other stakeholders.
  • Open, date, and distribute incoming mail.
  • Field tenant questions, concerns, and complaints, directing them to the appropriate staff member for resolution.
  • Download, review, and manage invoices from vendors such as Bell Canada.
  • Maintain accurate filing systems, including tenant and contractor files, paid invoices, and other critical records.
  • Enter and update tenant contact information in Yardi.
  • Prepare purchase orders as directed by management.
  • Obtain and verify insurance, WSIB coverage from contractors working on company properties.
  • Update vacancy information on the company website and distribute monthly vacancy reports to real estate agents.
  • Manage the building key fob entry system and schedule property tours for prospective tenants and agents.
  • Book reservations for property amenities, including freight elevators and rooftop patios.
  • Collect employee timesheets and forward them to the Accounting Manager.
  • Assist the Owner with company-related administrative tasks as needed.

Qualifications:

  • 3–5 years of experience in a similar administrative role.
  • Experience working in the property management industry is a MUST.
  • Experience with Yardi Voyager is an asset, but not required.
  • Strong MS Office skills, including Adobe.
  • Excellent written and verbal communication skills.
