Job Description

We are looking for a highly organized and experienced CMRAO-licensed Condominium Manager to manage the day-to-day operations of a portfolio of registered condominium properties. This role will support both company owned condominiums and third-party condominium corporations governed by owner boards. The ideal candidate will ensure properties are maintained to a high standard, stakeholder relationships are strong, and all financial, legislative, and regulatory requirements are consistently met.

Key Responsibilities

  • Lead the daily management and operational oversight of assigned condominium communities.

  • Serve as the primary liaison for condominium boards and residents, providing clear communication, issue resolution, and regular updates.

  • Deliver exceptional customer service to residents, board members, and ownership groups.

  • Prepare and present monthly management reports for internal and external condominium boards.

  • Coordinate maintenance programs, repairs, and capital projects while maintaining safety, quality, and compliance standards.

  • Ensure resident and board concerns are addressed promptly, professionally, and thoroughly.

  • Review, process, and approve incident documentation, invoices, and administrative service requests.

  • Enforce condominium rules and agreements, oversee monthly fee collection, manage arrears, and initiate legal proceedings when necessary.

  • Develop, administer, and track annual budgets, reserve funds, financial forecasts, and reporting.

  • Conduct routine site inspections and collaborate with internal teams to address maintenance issues and account statements.

  • Maintain full compliance with municipal, provincial, and federal regulations, including the Condominium Act, CAO, and CMRAO standards.

  • Perform regular property inspections and guide maintenance, custodial, and grounds staff to ensure property standards are upheld.

  • Create scopes of work, negotiate service pricing, and prepare contractual documentation.

  • Establish and maintain strong working relationships with vendors, contractors, and service providers.

  • Utilize property management software and digital platforms for documentation, financial tracking, and reporting.

  • Perform additional duties as required.

Qualifications & Experience

  • Mandatory General License issued by the CMRAO.

  • RCM designation is considered a strong asset.

  • Minimum of five (5) years of experience in condominium or property management.

  • Proven experience managing multi-residential and condominium properties.

  • Strong commitment to delivering exceptional customer service.

  • Demonstrated ability to resolve complex issues with professionalism and efficiency.

  • In-depth understanding of condominium operations, legislation, and regulatory compliance.

  • Excellent verbal and written communication, negotiation, and interpersonal skills.

  • Highly organized with strong time-management skills and the ability to manage competing priorities.

  • Detail-focused, analytical, and solution-oriented.

  • Strategic mindset with the ability to develop proactive and creative solutions.

  • Proficiency in financial and operational reporting using Microsoft Excel and related tools.

  • Experience with property management systems and electronic document management.

  • Knowledge of preventive maintenance programs, work order systems, and vendor management platforms.

  • Comfortable working with access control systems, building security, and basic IT-related building operations.

  • Willingness to travel between Head Office and properties in London, Waterloo, Niagara, and Simcoe regions.
