Job Description

Position Summary

We are seeking a highly organized and proactive Executive Assistant to support our client's CEO in a fast-paced, growth-focused environment. This role is responsible for managing executive priorities, coordinating key business activities, and ensuring the CEO operates efficiently across strategic initiatives, operations, and stakeholder relationships.

Key Responsibilities

Executive Support

  • Manage the CEO’s calendar, scheduling, and daily priorities.
  • Prepare meeting materials, briefings, and follow-up action items.
  • Coordinate travel, expenses, and executive logistics.

Communication & Coordination

  • Manage incoming communications and meeting requests.
  • Draft and edit correspondence on behalf of the CEO.
  • Liaise with internal teams, advisors, investors, legal counsel, and external partners.

Business & Project Support

  • Track important projects, deadlines, and company initiatives.
  • Assist with leadership meetings, company events, and cross-functional activities.
  • Conduct research and prepare reports to support decision-making.

Information Management

  • Maintain organized digital files and records.
  • Utilize technology and AI tools to improve efficiency and workflow management.

Qualifications

Required

  • 3 - 5+ years of Executive Assistant experience supporting senior executives.
  • Strong organizational, communication, and multitasking skills.
  • High level of professionalism, discretion, and sound judgment.
  • Proficiency with Microsoft Office, calendar management, and collaboration tools.
  • Post-secondary education in Business, Communications, or a related field.

Preferred

  • Experience in manufacturing, CPG, food production, or similar industries.
  • Exposure to organizational change, acquisitions, or business transformation projects.
  • Familiarity with AI-powered productivity tools.
  • Bilingualism is considered an asset.
