Job Description

Our Not-For-Profit client, based downtown Toronto, is looking to hire a dynamic Administrative Coordinator.

Responsibilities:

  • Support the Executive Assistant to the CEO with calendar management, meeting coordination, travel & event planning, and prioritizing tasks
  • Manage incoming calls and emails to the Office of the CEO and direct or respond accordingly, with a high level of discretion
  • Document management and preparing Powerpoint presentations for internal and external meetings
  • Support with organizing updates and weekly meetings for Senior Leadership Team, staff townhalls, other strategic and business-related meetings
  • Assist in organizing and coordinating key stakeholder events, including Board meetings, external stakeholder meetings, and various delegations.
  • Suppoer EA to the CEO with coordinating all agendas and action items for quarterly Board Meetings, with the occasional requirement to attend meetings
  • Work with cross-functional teams and Senior Leaders to ensure action items are completed and if not, following up to ensure CEO is informed of project status
  • Assist the EA on duties related to the Board including: accurate minute taking of Board meetings and committee meetings, ensuring their distribution as appropriate; ensuring approved minutes are maintained in corporate records and are readily available when required; ensuring records of the organization are maintained including founding documents; managing posting of other Board materials in the board portal; and proactively anticipating and acting upon needs and requirements of the board and the meeting cycle, ensuring appropriate information is delivered to the board in a timely manner.
  • Maintain the highest levels of confidentiality and professionalism when interacting with employees, senior management, the Board, and external stakeholders
  • May be required to perform other related duties as assigned
