Administrative Assistant/ Back up Reception Coverage – Full-Time (Onsite)

We are seeking a motivated and energetic Administrative Assistant to join a fast-paced, non -for -profit organization. This is a full-time, 100% onsite role with strong opportunity for growth and exposure to broader operational and HR-adjacent functions.

Ideal for someone with up to 1 year of office experience and/or strong aptitude in Microsoft Word, Excel, and general office systems, along with a dynamic, customer service-focused personality.


Role Overview

This position provides administrative and reception support while working closely with HR team members. You will be a key part of daily office operations in a busy and evolving environment.

Reception coverage is a core and permanent requirement of this role.

Confidentiality and discretion are essential when handling sensitive employee and organizational information.


Key Responsibilities

  • Provide consistent reception coverage (calls, visitors, mail, couriers)
  • Support HR and office team members with general administrative tasks
  • Assist with data entry, document preparation, and filing
  • Coordinate meetings, calendars, and room bookings
  • Support internal communications and employee documentation
  • Maintain an organized and professional front desk environment

What We’re Looking For

  • Up to 1 year of office/admin experience (or strong transferable skills)
  • Strong MS Word and Excel skills (or ability to learn quickly)
  • Excellent communication and customer service skills
  • High level of discretion and professionalism
  • Organized, adaptable, and comfortable in a busy environment
