Job Summary
Our client, an established and quickly growing boutique accounting firm is seeking a highly organized and proactive Office Administrator. This role is essential to ensuring the smooth operation of the office and providing valuable administrative support to senior management and accounting staff. We are looking for a detail-oriented professional with experience in managing office workflows and client communications.
Executive & Administrative Support
Provide high-level support to senior management, including managing calendars, scheduling, and preparing documents and presentations.
Act as the main point of contact for internal and external communications, handling client inquiries and follow-ups.
Perform basic bookkeeping using QuickBooks Online, including invoicing and vendor payments.
Office & Records Management
Ensure smooth day-to-day office operations and maintain a professional environment.
Manage front desk duties, office supplies, and equipment.
Organize and maintain physical and digital files, ensuring accessibility, security, and compliance.
Develop standard procedures and maintain proper documentation.
Client & CRA Liaison
Handle client onboarding and serve as liaison with the CRA, addressing inquiries and submissions.
Manage client communication, reminders, and documentation support with a focus on service and accuracy.
Workflow & Task Coordination
Maintain and monitor the firm’s client workflow system (Karbon preferred), ensuring timely task completion.
Support accounting staff with admin needs and follow-ups to meet internal deadlines and deliverables.
Qualifications
2–3 years of administrative experience, ideally in a CPA firm.
Proficient in Microsoft Office, QuickBooks Online (asset), and CRA online platforms.
Strong organizational, communication, and multitasking skills with the ability to thrive under pressure.
