Essential Tasks:

The Accounts Receivable and Collections Coordinator is responsible for the end-to end management of customer receivables, credit administration and collections. Reporting to the Billing and Accounts Receivable Manager, this role ensures the timely cash collection, accurate application of payments, proactive management of credit risk, and maintenance of strong customer relationships.
This position plays a critical role in optimizing cash flow, minimizing bad debt exposure, managing customer credit limits, supporting overall financial performance through disciplined receivables management.

Responsibilities and Duties:

Collection & Accounts Management

  • Proactively monitor customer aging reports and prioritize collection efforts
  • Conduct collection outreach via phone and email to secure timely payment
  • Develop and maintain structured follow-up schedules for past-due accounts
  • Escalate high-risk or delinquent accounts
  • Coordinate cross-functionally (Sales, Operations, Finance) to resolve disputes impacting payment
  • Negotiate payment plans where appropriate within approved guidelines
  • Support reduction of DSO (Days Sales Outstanding) and aging exposure
  • Manage collection agency and other recovery activities

Cash Application & Payment Processing

  • Prepare and post daily cash receipts (EFT, wire, cheque, pre-authorized debit and credit card)
  • Prepare bank deposits and ensure accurate and timely recording in the AR system
  • Apply payments to customer invoices and resolve unapplied or misapplied cash
  • Process credit card transactions
  • Administer and maintain pre-authorized debit (PAD) agreements and banking information

Credit Administration & Risk Management

  • Manage the credit application process for new customers, including review of financial information and trade references
  • Complete analysis of customer creditworthiness and recommend appropriate credit limits
  • Establish, review, and adjust customer credit limits based on payment history, financial position and risk exposure
  • Monitor accounts for credit limit breaches and place accounts on hold when required
  • Perform periodic credit reviews for existing customers
  • Identify and mitigate financial or credit risk exposure
  • Support bad debt reserve analysis and provide input for allowance calculations

Reconciliation & Dispute Resolution

  • Perform customer account reconciliations and statement reviews
  • Investigate and resolve payment discrepancies and short-payments
  • Respond to internal and external inquiries regarding invoices and payment applications.
  • Ensure timely resolution of billing disputes in collaboration with internal stakeholders

Reporting & Continuous Improvement

  • Maintain accurate aging schedules and collection status reporting
  • Track and report on key AR metrices (Aging, DSO, delinquency)
  • Maintain organized documentation of collection activities and credit files
  • Recommend process improvements to strengthen internal controls and improve efficiency
  • Support audit request related to receivables and credit documentation

Qualifications:

EDUCATION and/or EXPERIENCE:

  • Degree or diploma in business, finance, accounting, or a related field
  • Up to 5 years of progressive experience in Accounts Receivable, Credit or Collections
  • Experience managing credit limits and conducting credit risk assessments preferred.

TECHNICAL SKILLS:

  • Strong knowledge of accounting principles, receivable processes and internal controls
  • Experience with financial systems
  • Advanced Excel Skills
  • Ability to analyze financial data, aging reports and customer payment trends

Salary range - 58-65K plus benefits
