Our Client

Our client is an independent asset management firm providing investment solutions for individual and institutional clients. Established in 2000, our client now manages nearly $5bn on behalf of Canadian families, pensions, foundations and Indigenous communities and organizations. service, and the alignment of corporate and investor interests. They are based in Vancouver and have a satellite office in Calgary. They are looking for a Receptionist to join their team in our Vancouver head office. The position is full-time permanent. You will be the first face that clients and staff see upon entering the office, which requires a polished appearance and professional demeanor.
Salary 50 K plus benefits and RRSP matching

Responsibilities

  • Welcome and assist guests, ensuring clients, suppliers, and other contacts have an exceptional experience.
  • Manage all office communications including email, mail, phone calls, and faxes.
  • Operate the office phone system and switchboard, efficiently screening and directing calls and emails to the appropriate individuals.
  • Support daily operations such as setting up meeting rooms, managing booking schedules, and overseeing calendar coordination.
  • Coordinate lunch reservations and business travel arrangements when needed.
  • Arrange couriers, and handle the collection, sorting, and distribution of mail.
  • Process various bank deposits.
  • Oversee office maintenance and IT service requests, ensuring timely submissions and follow-ups.
  • Handle the opening and closing of the office.
  • Manage the office kitchen, including stocking snacks and unloading the dishwasher.
  • Maintain office equipment and supplies, ensuring everything is operational and restocked as needed.
  • Actively participate in the office safety committee and manage the inventory of First Aid and emergency preparedness kits.
  • Assist in the preparation of presentation materials by printing and binding them.
  • Help maintain and update client database records.
  • Organize and coordinate weekly staff lunches.
  • Perform general office tasks such as photocopying, scanning, and filing.
  • Provide administrative support to team members, including coordinating and assisting with ad-hoc projects and communications as required.

Qualifications:


  • Two years of experience in administrative and client-facing roles, providing efficient and professional support.
  • Post-secondary education with a focus on relevant skills and qualifications.
  • Outstanding customer service abilities, ensuring client satisfaction and fostering positive relationships.
  • Energetic and positive attitude, contributing to a dynamic and engaging work environment.
  • Proven ability to maintain confidentiality and handle sensitive information with discretion.
  • Detail-oriented, proactive, and resourceful, ensuring tasks are completed with accuracy and professionalism.
  • Excellent organizational skills, enabling efficient management of tasks and priorities.
  • Strong written and verbal communication skills to effectively convey information and collaborate with teams.
  • Proficient in Microsoft Office applications (Word, Excel, Outlook, PowerPoint).
  • Demonstrated ability to prioritize workload and meet deadlines in a fast-paced environment.
  • Skilled in working under pressure and ensuring high-quality performance in demanding situations.
